Business Challenges

BECAUSE OF LIMITED RESOURCES, THE CLIENT'S HR AND ACCOUNTS TEAM WAS HANDLING MULTIPLE RESPONSIBILITIES.   • Manual Processes: Most of the HR processes at the client's company were paper-based and time-consuming.. The employees having more than one administrative role in the company were facing a hard time because of complicated HR processes. Documentation of all company employees filled up the HR team workspaces. The HR team was taking multiple days to scan and input relevant information into the spreadsheets from those documents.
  • Inefficient Payroll: Prior to Kenz , the HR and payroll solution they were using was inefficient. Integrating the earlier payroll vendor’s software with their time tracking and benefits tool was a nightmare. The customer service was awful as they often receive a response in weeks for their payroll concerns. On this point, the client said, “We prefer quality customer service as we work in a dynamic work environment with tight deadlines. We were shocked and disappointed that we didn’t have the same experience earlier with our payroll and HR system provider.”
  • Poor Onboarding: It wasn’t just manual processes that were overwhelming for the client’s HR department. They also didn’t have an integrated onboarding solution. Everything was manual with paper new hire forms. For example, a candidate would send mail to generic carriers email addresses of the company, which would then be routed to the three-person HR team. Then, HR executives manually filter through applications, and then print and mail packets with new hire paperwork. Often, these packets were missed or uncompleted during the first day. Excessive time was spent on creating these mail packets and processing the new information. The shipping expenses were elevating cost centers too.
  • Unpleasant Employee Experiences: The client company prioritizes employee satisfaction greatly. Because of complicated HR, their core value of “transparent communication,” “stress tolerance,” “result-driven focus,” and “employee-driven” was getting affected. Because of complex processes, they were unable to recognize and reward employees for their dedicated efforts in HR. The performance review and feedback process were not up to the mark because of the poor tracking process.

In 2019, the client shifted to Kenz for HR and payroll processing. This was a shift towards paperless HR with hesitation whether it would fit in their existing workflow or not. Everything become paperless, the HR team was able to add quick payroll notes, view snapshots of the entire department time-of requests, download payroll reports, view analytics, and more.
